Baird, County Administrator <br /> From: Vincent Burke, P.E., Director of Utility Services <br /> Prepared By: Cindy Corrente, Utilities Finance Manager„mac., <br /> Subject: Approval of Statements of Work for Advanced Utility Systems <br /> DESCRIPTIONS AND CONDITIONS: <br /> On May 2, 2011 the Utility Department went live on a new Utility Billing Software System <br /> named Advanced Utility Billing. This system was instituted not only to make improvements to <br /> the billing system but to bring new services to the utility customers. Since that time the <br /> department has realized increased efficiency in utility billing and has improved services to <br /> customers through electronic billing and more automated payment options. <br /> ANALYSIS: <br /> At this time, staff desires to continue to expand upon the functionality of the Advanced Utility <br /> Systems software by implementing an automated work order module. This will give the <br /> department the ability to process real time work orders. In so doing, work orders can be <br /> organized by location and assigned to staff accordingly. This should decrease windshield time, <br /> thereby reducing fuel usage and vehicle maintenance costs. In addition, reconnect work orders <br /> will be processed in real time and thus reduce the turn- around time for reconnection of <br /> services. An added feature of this module is the ability to offer customers a mobile application <br /> that they can use to access their account information, view, and pay their bills from their smart <br /> phones. Since this module will increase the in house users on the system, we will need to <br /> increase the number of user licenses as well. <br /> FUNDING: <br /> The cost of the Infinity.Mobile module is $30,000.00. It also triggers a user maintenance fee of <br /> $17,500.00. The ten (10) user licenses cost $35,000.00 and there is a one-time user server fee <br /> related to the licenses that is $40,000.00. The combined cost of these items is $122,500.00. <br /> This is budgeted in the Computer Software account in the operating budget.
