Brown, County Administrator <br />THROUGH: Michael Smykowski, Budget Director <br />FROM: Basil Dancy, Computer Services Manager <br />SUBJECT: Microsoft Enterprise Agreement Contract Renewal <br />DATE: February 14, 2017 <br />DESCRIPTION AND CONDITIONS <br />The Indian River County Board of County Commissioners purchased an enterprise agreement <br />from the Microsoft Corporation in September of 2001. In October 2006, the Board of <br />Commissioners approved two new enterprise agreements to continue the licensing coverage <br />of desktops, laptops and server systems, as well as all future growth. This agreement covered <br />a period of three years from 11/30/2006 to 11/30/2009 with renewal options every three <br />years. This is distinguished from the December 20, 2016 agenda item which was for the True - <br />Up for additional licensing requirements. <br />The initial renewal was from 11/30/2009 to 11/30/2012. A second renewal was done which <br />covered from 11/30/2012 to 11/30/2015. A contract renewal was submitted for the period <br />which covers from 11/30/2015 to 11/30/2018. Due to the time sensitive nature of the contract <br />the previous County Administrator signed off on the contracts on 11/24/2015 pending future <br />board approval. This was not brought to the board at that time. This agenda item will bring <br />the contract status up to date. <br />The new contract phase will require payments of $64,363.52 per year for a period of three <br />years. Since this was a known upcoming extension of the existing contracts, the funds have <br />already been budgeted and allocated. <br />Staff is requesting that the Board approve the attached two agreements with SHI International <br />to continue the licensing coverage of computer systems and authorize the County <br />Administrator to sign the Microsoft Enterprise Agreements. <br />FUNDING <br />The annual cost of the agreement is $64,363.52 per year for 3 years. SHI International <br />currently has the State contract for this licensing. The funding sources will be spread across <br />multiple departments due to the distributed nature of the end user locations. The allocations <br />will be set up per the table below. These funds are already set in the existing budget year <br />allocations. <br />P90 <br />
