Brown, County Administrator <br />THROUGH: David Johnson, Director <br />Department of Emergency Services <br />FROM: Karen Rackard, 911 Mapping Technician <br />Department of Emergency Services <br />DATE: September 12, 2022 <br />SUBJECT: Approval of Renewal of the 800 MHz Communications System Infrastructure <br />Maintenance Contract with Communications International, Inc. <br />It is respectfully requested that the information contained herein be given formal consideration <br />by the Board of County Commissioners at the next scheduled meeting. <br />DESCRIPTION AND CONDITIONS: <br />Since the completion of the 800 MHz radio system project in 1996, Communications <br />International, Inc., the factory -certified regional service partner of the manufacturer, has <br />provided the daily maintenance for the radio system. <br />On March 1, 2011, the Board designated Communications International, Inc. as the County's <br />Sole Source Provider for the 800 MHz Communications System Service. To guarantee continuity <br />of essential services, the County requires Communications International, Inc. to have certified <br />service technicians available twenty-four (24) hours a day for immediate repairs. <br />Communications International, Inc., is the only regional vendor qualified to perform the <br />maintenance and repairs. <br />The approved contract for FY 2020/2021, approved by the Board on January 5, 2021 (Contract <br />Number CI -110-950) provided for renewal or extension of the contract in one (1) year <br />increments for a total of five (5) years upon mutual consent of the parties. The proposed FY <br />2022/2023 contract renewal represents the third extension. The terms and conditions of the <br />proposed contract will remain the same with increases/decreases in annual maintenance costs due <br />to removal of old equipment for the P25 Project, all of Fire Station 2's equipment coming out of <br />the reduced cost warranty period, and the South Urban Consumer Price Index (CPI) adjustment. <br />The CPI adjustment alone is 8.4%. <br />56 <br />
