SECRETARIAL WORK FOR INDIVIDUAL COMMITTEE <br />MEMBERS — ADOPT POLICY <br />The Board reviewed a Memorandum of September 24, 1997: <br />To: Board of County Commissioners <br />From: Alice E. White, Executive Aide <br />Date: September 24, 1997 <br />Subject: Secretarial work for individual committee members <br />In the past, we have had requests from various committee members to type <br />memos and reports for them to give to the Commissioners and other <br />committee members. It has been the office policy that we do not offer this <br />service - we only send notices and take minutes for the committee meetings. <br />I can only recall one incident in the past 16 years when a hand-written report <br />was given to a Commissioner who chaired that particular committee, and the <br />Commissioner asked me to type the report up so that we could have a clearly <br />readable copy for future reference in our files. We are now getting requests <br />from another individual member of another County committee to do his typing <br />for him. <br />I am requesting guidance from the Board, and that the Board of County <br />Commissioners adopt a policy relating to this issue. <br />No action taken. (CLERK'S NOTE: SEE ITEM 13.A.2) <br />13.A.2. COMMITTEE POLICY <br />The Board reviewed a Memorandum of October 6, 1997: <br />TO: Board of County Commissioners <br />FROM: Carolyn K. Eggert, Chairman C4.1 <br />DATE: October 6, 1997 <br />SUBJECT: Committee Policy <br />In regard to committee operations, the following policy should be considered: <br />1. No secretarial work is to be done for any individual committee <br />Or subcommittee member except the Chairman (County Commissioner.) <br />2. No County letterhead is to be used except by a County Commissioner, <br />Unless approved by the Board of County Commissioners. <br />3. No reports shall be typed or produced by County staff for a committee <br />Member except for a County Commissioner, or in the event of a vote by <br />the Committee to send it on to the Board of County Commissioners. <br />4. No money is to be spent on Committee work unless approved by the <br />Board of County Commissioners, or in the event that it was specifically <br />included in the annual budget. <br />OCTOBER 7, 1997 <br />AFAIM <br />i <br />
