BUDGETAMENDMENT #014 - MAKING EQUIPMENT Y2K COMPLIANT <br />The Board reviewed a Memorandum of April 14, 1999: <br />TO: Members of the Board <br />of County Commissioners <br />DATE: April 14,1999 <br />SUBJECT: BUDGET AMENDMENT 014 TO MAKE EQUIPMENT <br />Y2K COMP- CONSENT AGENDA <br />FROM: Joseph A. Baird <br />OMB Director <br />DESCRIPTION AND CONDITIONS <br />The budget staff has been tasked with coordinating the assessment of all equipment that could be <br />affected by the Y2K problem. After several months of review, it has been determined that the <br />equipment listed below has to be replaced or upgraded to solve the Y2K problem. <br />1. Telephone System at the Sheriff Office -$140.265.70 - The Sheriffs Office automatic <br />attendant is not Y2K compatible; however, the current phone system is at capacity and <br />needs to be updated next year. It is recommended that a new telephone system be <br />installed at a cost of $140,265.70. Funding will be from Optional Sales Tax <br />contingencies. <br />2. Library ComRuter System -$185.776 - The Main Library received a letter stating their <br />current system is not Y2K compatible. Our current software cannot be updated; <br />therefore, we must purchase the new version of the software at a cost of $185,776. <br />Indian River County would have had to purchase the new software within the next two <br />years but due to the Y2K problem we need to purchase the software as soon as possible. <br />Funding will be from Optional Sales Tax contingencies. <br />3. The Card Swipe System for entry into the Sheriffs Administration needs to be replaced <br />at a cost of $1,500.00. Funding will be from General Fund contingencies. <br />4. Three (3) voice mail units at the Courthouse need to be updated at a cost of $15000.00. <br />Funding will be from the General Fund contingencies. <br />5. It is anticipated that the County will have additional small software updates, hardware <br />updates and other miscellaneous changes due to the Y2K problem. Staff would like to <br />appropriate $6,000 from General Fund contingencies. <br />6. The Card Swipe System for entry into the Courthouse needs to be replaced at a cost of <br />$2,500.00. Funding from General Fund contingencies. <br />RECOMMENDATION <br />Staff is requesting approval of the budget amendment to fimd the above-mentioned equipment <br />purchases. <br />Chairman Macht questioned whether the County can reserve the right of redress <br />through the courts, and County Attorney Vitunac responded that most of the vendors are <br />taking great care to protect themselves. An attempt is being made to pass a law exempting <br />them from responsibility, which the National Association of Counties is attempting to <br />counteract. <br />APRIL 20, 1999 <br />-17- RUCK O PAGE <br />
