k <br />Beach and Sebastian, respectively, have approved funding to purchase 7 and 5 <br />portable radios. The School Board budgeted funds to purchase radios, but they remain <br />uncertain on capital expenditures at this time. It should also be noted that a few radios <br />become inoperable each year and those purchases are in excess of the budgeted <br />replacements. <br />The savings to the County to take advantage of M/A COM's offer represents a savings <br />of $349,586 against future expenses to upgrade our system. The risk is that the Board <br />may be required to purchase the balance of radios needed to reach the agreement of <br />forty-one radios within the next six months, however, the benefit out weighs the risk and <br />M/A COM's proposal represents a considerable savings. <br />RECOMMENDATION: <br />Staff recommends the Board approve M/A COM's final proposal and accept the 800 <br />MHz Integrated Multisite Controller and Console Electronics Controller and fund the <br />installation fee of $27,710. Staff also requests the Board authorize the necessary <br />budget amendments for this project to the 001-107 Communications Account using <br />General Fund contingencies. Staff understands that they will be required to return to <br />the Board to fund any additional radio purchases to fulfill the agreement if there is a <br />shortfall, but by agreeing to this purchase, the Board is agreeing to purchase a <br />minimum of 41 radios. <br />ON MOTION by Commissioner Adams, <br />SECONDED by Commissioner Stanbridge, the <br />Board unanimously approved M/A COM's final <br />proposal; accepted the 800 MHz Integrated Multisite <br />Controller and Console Electronics Controller; <br />approved funding of the installation fee of $27,710; <br />authorized the necessary budget amendments for this <br />project to the 001-107 Communications Account <br />using General Fund contingencies with the <br />understanding that staff will fund any additional <br />radio purchases to fulfill the agreement if there is a <br />shortfall but the Board agrees to purchase a <br />minimum of 41 radios; all as recommended by staff. <br />DOCUMENTATION WILL BE ON FILE IN THE <br />OFFICE OF THE CLERK TO THE BOARD <br />DECEMBER 18, 2001 <br />WHEN EXECUTED AND RECEIVED <br />-91- <br />
