i <br />`II <br />COUNTY ADMINISTRATOR: , <br />The County Administrator will be responsible for the proper disposition of si <br />property for which a Departmental Custodian may have no further use. With the j <br />assistance of the Property Control Clerk he will insure that all items are disposed t <br />of in accordance with the applicable Florida Statutes. <br />INSTRUCTIONS FOR THE USE OF THE NEW PINK PROPERTY RECORD SHEETS: <br />The new pink inventory record sheet is divided into three sections as follows: <br />(1) Property Record Information Section <br />(2) Acquisition Section ° <br />(3) Custodial Change Section <br />PROPERTY RECORD INFOKMATION SECTION: <br />The information contained in this section of the pink property record sheet <br />has been preprinted and should be checked by the custodian for its accuracy. If i <br />an error exists please circle it and write the correction beside it. If no + <br />o information appears beside a particular category it means that it was not available <br />to the finance office when the pink property record sheet was prepared. If the i <br />Custodian knows the information that is missing, please write it in and give the :. <br />pink record to the Property Control Clerk. The Property Control Clerk will make <br />the change to the master record and issue a new property record sheet to the <br />custodian. <br />ACQUISITION SECTION: <br />!' The explanation and instructions for the use of the acquisition section are the <br />same as the Property Record information Section which appears above. <br />CUSTODIAL CHANGE SECTION: <br />This section of the property record information sheet should be used by the <br />custodian to effect all changes to his property records. <br />For example, if a custodian wishes to transfer an item of property to a new <br />custodian he should follow these procedures: <br />(1) In the block to the far right entitled Class of Change, circle the <br />appropriate letter. In this case it would be the letter C. <br />(2) Fill in the date of transfer, to whom the item was transferred and give <br />a short explanation of why the item is being transferred. All this can be <br />• -done In the spaces provided in the Custodial Change Section. <br />g <br />(3) •Have the person to whom the item Is transferred initial the RECEIVING <br />'CUSTODIAN BLOCK. <br />(4) Submit the pink property. record Information sheet to the Property Control <br />Clerk. The Property Control Clerk will change the master file and initial <br />• the pink record sheet and return it to the custodian. The pink property <br />record sheet should be retained by the•custodian as hos receipt. <br />' These basic procedures should be followed when making any custodial change.
