Barton, Finance Director <br />FAG e3 6 4 <br />Suncom Telephone: (305) 424-1012 <br />It is our recommendation to approve the disbursement of the $999.00 <br />to St. Francis Manor reemphasizing that the following procedures <br />should be adopted by St. Francis Manor to be submitted annually, <br />to obtain additional funds in the future, if they are appropriated. <br />1) Separation of donations for food as separate line item <br />on income. <br />2) Use tally sheets showing day of month, number eating, and <br />dollars contributed by persons eating. <br />3) Submit copies of above sheets and copies of caterer's bill <br />for Fiscal year. <br />4) Promote activities to generate at least 25 people eating <br />daily in order to match the minimum meals provided. <br />5) Submit copies of the following: <br />(a)' Fiscal year balance sheet and income statement <br />(b) Internal Revenue Service Form 1990 annually. <br />Frank Zorc, Director of St. Francis Manor, addressed <br />the Board and explained that when Director Barton asked to <br />go over their books, he had pointed out that they had <br />changed circumstances mid -year and had gone to a guaranteed <br />minimum of meals from the caterers, and was not sure that <br />they had maintained a daily account of the food program for <br />the last half of the year. However, after the Administrator <br />had returned from vacation, he learned that a daily account <br />is maintained. Mr. Zorc presented those records to Director <br />Barton. <br />Discussion took place on the cost of the meals, and it <br />was explained that the cost to the Manor of each meal was <br />approximately $1.75; however, the residents paid only $1.00 <br />per meal. Only guests pay a $2.00 charge for meals. <br />28 <br />
