"Tommy" Tho s j URJECT: Request for Lease -Purchase <br />Intergovernment / of new IBM Copier <br />Coordinator 1 I <br />FROM:Lynn Williams <br />Building & Grounds <br />REFERENCES: <br />Superintendent <br />DESCRIPTION AND CONDITION <br />Presently the Central Copy Room serving the Administration <br />Building is equipped with an IBM Model 20 Copier. This copier <br />was purchased on a 60 month purchase agreement with IBM in 1979. <br />The Model 20 is designed to handle an average of 25,000 to <br />35,000 copies per month. We have averaged 70,000 copies per <br />month on our IBM Model 20, since the beginning of fiscal year <br />83-84. <br />Over ,the last two years we have experienced considerable <br />difficulty with our present machine, mainly attributed to the <br />very heavy load. All repair work and normal maintenance is <br />covered by a service agreement with IBM. However, the charges <br />for monthly service are based on a set copy volume of 20,000 <br />copies and escalates as usage rises above this point. The <br />pricing structure of the Service Agreement was changed in <br />September, 1983 where by all copies above 20,000 per month cost <br />$.02 each. <br />Copy usage has jumped dramatically since the beginning of the <br />fiscal year. Code Enforcement, the addition of the Building <br />Department, Emergency Management and increased efforts in <br />Personnel have all impacted the usage demand to•a point where it <br />is no longer economically advantagous to continue with our <br />present situation. Our present volume is twice the recommended <br />usage level for the Model 20 Copier. <br />ALTERNATIVES AND ANALYSIS <br />In September, 1983 the Board authorized staff to negotiate with <br />IBM or other manufacturers for a copier better suited to our <br />needs. Staff investigated further the copiers available on the <br />market which could handle the present usage as well as future <br />growth. <br />We received proposals from both IBM and Xerox for copiers <br />specifically designed for 100,000 plus copies per month. <br />Morse's Printing, the local Xerox representative, proposed a <br />Xerox, Model 1075 Copier/Duplicator at a cost of $53,102. <br />Monthly service agreement charges are similar to those of IBM <br />outlined earlier. Staff feels this is simply out of our price <br />range. <br />IBM has offered a package, outlined below, for a Model 60 <br />Copier/Duplicator.
