JUN 2 0 1984BOQK P,507 <br />CT <br />IBM has proposed the following: <br />a. Install a Model 60 IBM Copier/Duplicator for a 30 day <br />free trial. <br />b. After the 30 day free trial, the County would enter <br />_ into a 60 month purchase agreement for purchase of the <br />IBM Copier. <br />C. Accept our present Model 20 as a trade-in on the <br />purchase of a Model 60. The trade-in allowance is <br />$1,525. The original purchase price of this machine - <br />five (5) years ago was $27,724. <br />Staff feels the following factors justify purchase of the Model <br />60 IBM Copier/Duplicator. <br />a. Reduced cost - At our present copier usage level <br />(75,000 copies per month) the existing Model 20 _ <br />Maintenance and Copy Agreement will cost $1,596 per <br />month. The same volume (75,000 copies per month) on <br />the new Model 60 will cost $641 per month. This <br />computes to an annual savings of $11,460, in <br />maintenance and copy costs. The same grade paper is <br />used by both machines. The toner which actually makes <br />the print on the copy is $22 per cartridge less for the <br />Model 60 than for the Model 20. An annual savings of <br />approximately $300. <br />b. Increased capability - The IBM Model 60 has been <br />designed for copier users in the range of 25,000 to <br />125,000 copies per month. This range allows for <br />considerable growth and will handle our needs for the <br />next three to five years. Our present copier is in <br />excess of five years old, technilogically, and no <br />longer can handle our copy load nor has the copy <br />features needed in our operation. <br />C. Thirty (30) Day Free Trial - The thirty day free trial <br />will reduce the average monthly cost for the remainder ° <br />of the fiscal year to $625 per month. The present <br />monthly cost is $1,596. <br />Beginning Fiscal 84-85 the monthly cost for the new <br />Model 60 Copier will be approximately $.1,250 (purchase, <br />copy and maintenance) as opposed to $1,596 per month <br />for the existing machine. An annual projected savings <br />of $4,152. <br />If the purchase is approved for immediate delivery where our <br />exising copier can be traded in right away we will save <br />additional payments due on the existing purchase agreement. <br />ALTERNATIVE A <br />Approve IBM 30 Day Free Trial, for immediate delivery. Execute <br />a 60 month purchase agreement with IBM accepting the existing <br />Model 20 as a trade-in. <br />RECOMMENDATION <br />Staff recommends approval of Alternative "A". <br />44 <br />
