Millie Bunnell of the Historical Society stressed that the <br />Society had also requested that the Board supply them with boxes, <br />tape, labels, and such things, to do the boxing and storage. <br />Mr. Woodard noted that as custodian for the Clerk, he keeps <br />the basement secured because 800 of the records down there belong <br />to the Clerk. He wished to know what the Board would like done <br />with their records that are in the basement. <br />Commissioner Bird asked why these items can't be inven- <br />toried, properly boxed, taped, sealed and left in that location. <br />Mr. Woodard explained that it is an unsuitable storage <br />location with no temperature control, and the Administrator and <br />Commissioner Bowman confirmed that the basement is not only damp, <br />but wet. <br />Chairman Scurlock suggested storing the Board's records <br />where we used to store all the voting machines as there is space <br />there and it is dehumidified. <br />Administrator Wright advised we are having to do some <br />movement out there with some of our traffic engineering, sign <br />shop, etc., and he asked that he be allowed to work out something <br />on storage because he does not have all the facts today. <br />Commissioner Bowman commented that Tom Fallhaber, whom she <br />believed was a member of the Historical Society, is a profes- <br />sional archivist, and he advised her that all records should be <br />copied as paper disintegrates so fast. She felt it would be <br />better if anything worth preserving is microfilmed. <br />Chairman Scurlock advised that he has discussed a microfilm <br />program with the Board's Administrative Aide, Liz Forlani, since <br />we are building up voluminous records, and this is going to be <br />suggested to the Commission at some point, but it will be an <br />expensive endeavor. <br />Mr. Woodard informed the Board that he is in charge of the <br />Clerk's microfilm operation at the moment. <br />The Chairman noted that we have a Motion and a Second on the <br />floor, and Commissioner Lyons believed that the Motion approves <br />47 <br />APR 2 1986 47 <br />
