3. In the financial business time is money; therefore, <br />everything is due yesterday. It is commonfor the <br />Budget Office to be faxing information after 5:00 <br />p.m. or later in the evening in order to make <br />deadlines to save the county money. Currently after <br />hours we have to go through two or three alarm system <br />and outside to get to emergency management. If it is <br />raining, the documents get wet and do not feed <br />through the machine. <br />4. At the current rate that we are using the fax machine <br />we are substantially shortening the life of the <br />machine in emergency management. <br />5. The county presently does not have a back-up fax <br />machine and in the event that the machine was to be <br />broken all work would cease. <br />The following is a breakdown of the cost of a fax machine: <br />Fax Machine $1,800.00 <br />Telephone Installation 200.00 <br />Cable 300.00 <br />Monthly Bill 300.00 <br />Maintenance 160.00 <br />$2,760.00 <br />ANALYSIS <br />As one can see the cost of an additional fax machine will be easily <br />offset by the savings of employees time, the potential cost of not <br />meeting a deadline because of a machine not being accessible or <br />broken. In addition to the above mentioned, Ed Fry, Finance Director <br />has agreed to pay half the monthly operating costs. <br />FUNDING <br />Funds to be transferred from General Fund contingencies for the <br />purchase and operating costs of the fax machine. The contingency <br />balance in the General Fund is $748,555.00 as of the December 22, <br />1988 General Ledger. <br />Recommendation <br />Staff recommends the Board of County Commissioners approve budget <br />amendment 021. <br />ON MOTION by Commissioner Scurlock, SECONDED by <br />Commissioner Bird, the Board unanimously approved <br />Budget Amendment #021 in the amount of $2,760 for the <br />purchase and maintenance of a FAX machine for the <br />Office of Management & Budget. <br />23 <br />JAN 3 1989 <br />BOOK 75 FACE 467 <br />
