Finalized scope documents <br /> b. RMP <br /> c. Milestone schedule <br /> d. Format of the WRR <br /> e. Project financial summary, <br /> i. The selected Contractors Original Base Cost <br /> ii. A list of agreed/accepted Value Added Options(with impact to cost) <br /> iii. A list of agreed upon Scope Changes or Additional Work (if applicable) (with <br /> impact to cost) <br /> iv. A Schedule of Values <br /> f. Complete detailed Project or services schedule <br /> g. Project action item checklist of County actions <br /> h. Project and emergency contact list. <br /> PRE-AWARD SUMMARY MEETING <br /> The Pre-Award Summary Meeting is held at the end of the Pre-Award Phase and is used to <br /> present the Pre-Award Document with a summary of what was developed and agreed upon <br /> during the Pre-Award Phase. The Pre-Award Meeting is not a question and answer session. The <br /> BV Contractor and County stakeholders must not wait for the meeting to ask questions. All <br /> coordination and planning with the County should be done prior to this meeting. <br /> SECTION 5-AWARD AND CONTRACT <br /> OVERVIEW <br /> Upon satisfactory conclusion of the Pre-Award Phase the Best Value Contractor will execute a <br /> written contract with the County to complete the Project. The Contract, together with Special <br /> Conditions, Supplementary Conditions, Plans, Drawings, BVP Document, all addenda issued,the <br /> Conditions of the Contract, Exhibits, Attachments, the BVP Submittal, the Pre-Award <br /> Document, and Technical Specifications shall constitute the Contract Documents concerning this <br /> Solicitation. <br /> All contracts are subject to final approval of the Polk County Board of County Commissioners. <br /> Persons or firms which incur expenses or change position in anticipation of a contract prior to the <br /> Board's approval do so at their own risk. <br /> AWARD OF CONTRACT/REJECTION OF SUBMITTALS <br /> A Best Value Procurement may be awarded by the Procurement Director to the Best-Valued <br /> Contractor based on the criteria in this Solicitation.
