4. Events, occasions, programs or causes that occur outside the boundaries of <br /> the County; or causes sponsored by for-profit organizations, except when <br /> such sponsorship is for a charitable purpose. <br /> H. No Proclamation or Certificate of Appreciation shall be used by the recipient as <br /> part of an advertisement or commercial promotion. <br /> I. To obtain an official Proclamation or Certificate of Appreciation, requests should <br /> be made in writing, preferably on the official request form. All requests must be <br /> in writing. Requests can be mailed, faxed, emailed or hand-delivered. If mailed <br /> or faxed, please call to verify receipt by the Board Office (772 226 1919). <br /> J. Requests for a Proclamation or Certificate of Appreciation should be made at <br /> least three weeks in advance, no more than 3 months in advance of the <br /> requested date to permit adequate preparation time. If less than two weeks <br /> notice is given, the Board reserves the right to decline providing the document. <br /> The person requesting the document will need to make arrangements with the <br /> Board Office to pick up the document or to have it mailed. <br /> K. All requests should include: <br /> 1. Name. The request must be made by an Indian River County resident. Out- <br /> of-state requests will be declined unless in the event of a disaster or <br /> emergency. The person making the request must demonstrate they have <br /> been selected to make requests on behalf of the organization or group. <br /> 2. Physical Address (no post office box); <br /> ,law 3. Telephone number; <br /> 4. Email address of the person making the request, as well as to who and where <br /> the document should be addressed, if mailed; <br /> 5. Name(s) and Title of person(s) who will be accepting the Proclamation. <br /> L. All requests should include proposed language for the Proclamation (including <br /> 4-6 "WHEREAS" clauses) or Certificate of Appreciation and must fit on a single <br /> letter sized page (8.5" x 11") and must be in 12 point font, with room remaining <br /> for the signatures of the five County Commissioners. <br /> M. With regard to a request for a Proclamation, such requests should include <br /> whether the Proclamation would be presented at a Board meeting, mailed to an <br /> outside party, or presented at an outside special event. <br /> N. The number of Proclamations to be issued at any one Board meeting shall be at <br /> the Chairman's discretion. <br /> O. An organization does not have exclusive rights to the day, week or month of their <br /> Proclamation. <br /> P. Each request will be reviewed on a case-by-case basis.
