C. Xerox Copy Machine Contract <br />The Board reviewed the following memo dated December 1, 1992: <br />DATE: DECEMBER 1, 1992 <br />TO: HONORABLE BOARD OF COUNTY COMMISSIONERS <br />THRU : JAMES E. CHANDLER. <br />COUNTY ADMINISTRATOR �% <br />FROM: H.T. "SONNY" DEAN, ,DIRECTOR` -A 1 <br />DEPARTMENT OF GENERAL SERVICES <br />SUBJECT: XEROX COPY MACHINE CONTRACT <br />BACKGROUND: <br />The one year warranty on our Xerox 5100 copy machine will expire on <br />December 18, 1992. It is imperative that a maintenance contract be <br />in effect for this high volume piece of equipment. There is an <br />average of 180,000 copies run per month, on this one machine alone. <br />Xerox has available a two year maintenance contract for a price of <br />$1,175 per month for the first 150,000 copies, and .0062 cents per <br />copy over the basic allowance. This cost equates to $1,361 per month <br />or $16,232 annually, based on the average of 180,000 copies per <br />month. <br />ANALYSIS: <br />It is anticipated that the number of copies per month will increase <br />over the next two years and this contract will probably amount to a <br />cost of approximately $34,000.00. This is an estimate based on copies <br />produced over the past years. <br />RECOMMENDATIONS: <br />Staff recommends the Board approve the attached contract <br />authorize their chairman to execute the applicable documents. <br />ON MOTION by Commissioner Bird, SECONDED by <br />Commissioner Macht, the Board unanimously approved <br />maintenance contract in the amount of $16,232 with <br />Xerox Corporation, as recommended by staff. <br />CONTRACT IS ON FILE <br />IN THE OFFICE OF THE CLERK TO THE BOARD <br />5 <br />and <br />DECL_ m 8 199 DDDR 88 r -,1u 2-1 <br />
