PRE -BUDGET STATUS REPORT <br />(Item 10 moved to end of meeting) <br />FIBER OPTIC CABLE INSTALLATION <br />The Board reviewed the following memo dated 5/22/96: <br />DATE: May 20, 1996 <br />TO: Honorable Board of County Commissioners <br />THRU: James E. "Sonny" Dean, Director <br />Department of General Se <br />Doug Wright, Director <br />Department of Emergency Services <br />SUBJECT: Fiber Optic Cable Installation <br />BACKGROUND: <br />The new 800 NM Radio System specifies a fiber optic cable for connectivity between the north and south <br />transmission towers. Earlier this year the Board authorized a contract with Precision Contracting Services <br />(PCS) to provide the engineering for this special cable. Along with the engineering, PCS was to perform <br />necessary research to determine the number of fibers this cable should contain to meet the needs of all potential <br />users. <br />The specifications are completed to allow purchase and installation of all necessary cable and associated <br />electronic equipment. A budget of $652,045 has been estimated to cover the cost for this portion of the project. <br />The following schedule is anticipated: <br />1. North and South towers to be in place and ready for use in mid June. <br />2. "Backbone" radio equipment will begin to arrive about mid July. <br />3. Equipment installed and ready for testing to begin mid September. <br />4: System fully operational by end of 1996. <br />The fiber optic cable is required to facilitate simulcast between the tower sites and needs to be operational by <br />mid September: There are approximately fourteen miles of cable to be installed and will take about four <br />months to complete all work associated with the cable and electronics. <br />ANALYSIS: <br />Based on the above an aggressive schedule is required to meet all aspects of the cable installation. The formal <br />sealed bidding process will take six to eight weeks. This equates to a mid July contract award and with four <br />months for installation the completion date would be sometime in November. <br />RECOMMENDATION• <br />Staff requests authorization to take written quotes from the various contractors and negotiate a contract price <br />to complete the project. This contract will be brought back to the Board for approval and execution. <br />It is also requested that staff be authorized to issue a purchase order for procurement of the cable_and <br />electronics directly from the supplier if needed for cost savings and to expedite the project. <br />30eooK 9$ n.Z <br />MAY 289 1996 �� <br />
