Emergency Purchase of Xerox Copier <br />The Board reviewed the following memo dated 10/4/96: <br />DATE: October 4, 1996 <br />TO: Honorable Board of County Commissioners <br />THRU: James E. Chandler <br />County Administrator <br />FROM: H.T. "Sonny" Dean, Director, <br />4 <br />Department of General Services <br />SUBJECT: Emergency Purchase of Xerox Copier <br />The Department of Community Development's copier failed and the cost for repairs was not feasible. <br />During the effort to replace the equipment, staff located a Xerox copier that had been used during the <br />recent Olympics in Atlanta and was being offered at a reduced price. This machine was on a government <br />contract at $13,677.00 and Xerox would sell it to the County for $7,555.00. <br />The Purchasing Manual requires all expenditures over $5,000.00 to be bid. Exceptions to this requirement <br />are sole source, governmental contracts, and emergencies. Staff felt this was an emergency due to closing <br />of the fiscal year, department need and a very good price on the machine. The County Administrator was <br />in agreement and authorized purchase of the equipment. <br />In accordance with Section 3.11 C of the County's Purchasing Manual, when action such as above is taken, <br />the Board must be advised. This memorandum is submitted as meeting requirements of the Manual. <br />ON MOTION by Commissioner Eggert, SECONDED by <br />Commissioner Bird, the Board unanimously approved <br />the emergency purchase of the Xerox Copier in the <br />amount of $7,555, as recommended by staff. <br />10 <br />OCTOBER 15, 1996 <br />
