The old small machine (Model 5052), would be moved to the Housing Authority where a new machine <br />has been approved and budgeted for ibis fiscal year. It is proposed their capital funds be used to pay for <br />moving/setup along with maintenance and supplies on the machine during the 1996/97 fiscal year. <br />Staff would recommend monies from Maintenance of Office Equipment line item in the Central Services <br />budget be used to fund the new machine. This approach allows funding to come from the present budget <br />and not require appropriation of additional fiords. <br />SUMMARY: <br />Presently there is a large Xerox (5 100) and a small Xerox (5052) copy machines being utilized in Central <br />Services to provide all copy requirements for County Administration. These two machines are five years <br />old and produce an average of 194,000 copies monthly. The cost for this service is1 9$ . 57.66 per month <br />Staff anticipates the large machine would need to be replaced some time during the next fiscal year or <br />soon there after with the present work load. <br />A new Xerox (5365FIN) copier can be installment purchased to take some of the load off the larger <br />copier (5100) and extend its life another four to five years. The monthly cost for this proposal would be <br />$1,826.48 per month or a savings of $1,574.16 per year. Monies would come from the present operating <br />line item budget and not require appropriation of funds. <br />The small copier presently located in the Mail Room could be transferred to the Housing Authority, <br />located in the Administration Buildings Annex, which would provide them a machine that would meet <br />their needs, take some of the load off the Mail Room and save purchasing a new copier now authorized <br />in their budget <br />RECOMMENDATION: <br />Staff is requesting Board approval to enter into a sixty month installment/purchase agreement with Xerox <br />Corporation for a Xerox 5365 FIN Copier as outlined above, and requests authorization for their <br />Chairman to execute the attached agreement' <br />HTD/eh/copymachjan <br />� LeRK g'k- e - � <br />+eu-4 ,U�. <br />ON MOTION by Commissioner Macht, SECONDED by <br />Commissioner Adams, the Board unanimously approved <br />entering into a 60 -month installment/purchase <br />agreement with Xerox Corporation for a Xerox 5365 <br />FIN Copier and authorized the Chairman to execute <br />the Agreement, as recommended in the Memorandum. <br />COPY OF AGREEMENT HAS BEEN PLACED ON FILE <br />IN THE OFFICE OF THE CLERK TO THE BOARD <br />66 BOOK MO PAvt e3� <br />February 4, 1997 <br />
