Chan:ZINU <br />nty Administrator <br />INTERNATIONALAINTENANCE CONTRACT RENEWAL <br />Bob <br />BACKGROUND <br />Golf <br />Sandridge Golf Club has been under contract with International Golf Management <br />(I.G.M.) for the grounds maintenance of the golf courses. The length of the contract <br />was for three years beginning July 1, 1996 and ending June 30, 1999. The contract also <br />has two (2) three year options. <br />The price of the first year of the contract was $820,000.00. It increased two and one <br />half (2.5%) the second year to $840,000.00 and 3% the third year to the current annual <br />payment of $865,500.00. The contract is up for renewal July 1, 1999 and staff has been <br />meeting with I.G.M. to discuss a contract extension. <br />Since the beginning of the contract, the overall maintenance of the golf courses and the <br />clubhouse area have improved immensely. However, problems had occurred during the <br />overseed transitions from the winter rye grass to the summer Bermuda on the greens. <br />The problem that did occur was not directly related to I.G.M.'s maintenance practices. <br />I.G.M. did however work diligently to rectify the problems including sodding of areas at <br />their expense. I.G.M. along with their professional staff have worked extremely hard to <br />lessen the chance of these problems occuring in the future. <br />Currently the golf courses are in the best playing condition ever. Staff feels that I.G.M. <br />and it's staff can continue to maintain the golf courses and grounds at a quality level <br />and even better than in the past. Staff also feels that I.G.M. will continue to improve <br />the golf courses and allow the golfmg patrons a positive experience --while playing the <br />Sandridge Golf Club. <br />ANALYSIS <br />Staff has met with I.G.M. for the purpose of renewing the contract for three additional <br />years. During the negotiations, staff reviewed the contract for areas that had not been <br />identified clearly in the original agreement. Attached is an addendum for your review <br />identifying these items. <br />An additional cost of $3,500.00 has been proposed for the additional maintenance of the <br />wetland mitigation areas, lake bank mowing and pepper tree removal. This type of <br />maintenance is required as part of the consumption use permit with St. John's River <br />Water Management District. Previously the golf course was responsible for the charges. <br />I.G.M. has also proposed for their maintenance service as defined in the contract an <br />increase of 1.67% each year over the next three years.
