Through its unique up-front <br /> scan approach , OnCore enables the Clerk ' s Office recorders <br /> to automate document flow through electronic queues . The new efficiencies gained also <br /> allows for immediate document return to walk-in customers over the front counter. <br /> The Clerk ' s Office uses Oncore primarily for the recording of official records and plats . The <br /> Clerk ' s office also uses Ovation , developed by Aptitude Solutions . Ovation is part of a Court <br /> Application Product Suite that allows for scanning , tracking , and posting full court cases for <br /> access level viewing . <br /> @im Recommended GIS Needs and Duties <br /> The Clerk of the Court currently uses no mapping or GIS . GIS can assist staff members in <br /> finding answers to internally generated questions . Based on this needs assessment, the Clerk <br /> of the Court has the following GIS needs , <br /> • GIS- based Mapping and Analysis in Support of Clerk Operations <br /> • Public Access to Geo-spatial Information <br /> m GASB 34 Analysis <br /> S'GIS-Based Mapping and Analysis in Support of Clerk Operations <br /> There is potential for the implementation of mapping and spatial analysis to support the <br /> operations and responsibilities of the Clerk of the Court . If implemented properly, the <br /> County ' s GIS will provide a powerful means for analyzing data , thereby improving the <br /> efficiency and effectiveness of operations . The Clerk ' s Office can utilize GIS to assist in <br /> several tasks, including : <br /> • View and query fax parcel information with owners <br /> • View records in Oncore database on a map <br /> • Find a piece of property on a map <br /> • View the tax assessments <br /> • Check delinquent taxes <br /> View property history <br /> View land instrument images pertaining to the property <br /> View traditional information about properties such as water, sewer, school zone, <br /> voting precincts, etc <br /> Tax parcels are an important part of the daily operations and workflow for the Clerk ' s Office . <br /> At present, deed index and deed information is handled by the Clerk ' s Office . <br /> ' Subsequently , deed information is relayed to the Property Appraiser to be integrated with <br /> GIS . Consequently , the Clerk ' s Office needs to have access to property boundary <br /> information with accurate ownership <br /> * Access to accurate land ownership information is essential in carrying out the many duties <br /> assigned to the Clerk ' s Office employees . The Property Appraiser ' s office currently maintains <br /> y a comprehensive GIS database of fax parcels .
