Chairman Eggert explained that she removed all of these bid <br />items (Items F, G, H, I and N,)because staff is asking for <br />authorization to renew the contracts subject to satisfactory <br />performance and dealer cost increase, and she wasn't sure that <br />the renewals were to come back before the County Commission. She <br />felt the Board should at least see these before they are <br />finalized or put into the budget because there are times when <br />items decrease in cost. She just wanted to double check the <br />procedure on these bids. <br />Administrator Chandler explained the procedures involved and <br />advised that staff would recommend renewal if there is no change <br />in the unit price and the bidder agrees to keep that same price, <br />but if there is a change in the marketplace, we would go out to <br />bid again. We do evaluate the prices and believe that if the <br />prices do not change, it would be to the County's benefit to keep <br />those prices. <br />Commissioner Scurlock felt that Chairman Eggert does raise a <br />point that if prices have decreased, we should have some <br />mechanism in place to look at the market conditions, and <br />understood that staff is assuring us that is the case with these <br />bids. <br />General Services Director Sonny Dean advised that the <br />department or division of the County ordering the item also looks <br />at the prices along with the performance, etc. <br />ON MOTION by Commissioner Scurlock, SECONDED by <br />Commissioner Bird, the Board unanimously awarded <br />IRC Bid #91-3 to Roadway Supply, as set out in the <br />above staff recommendation. <br />I <br />a�rK Fgi' <br />� � ! <br />OCT 2 10 12 <br />
