T. Renewal of Halon Fire Suppression System Maintenance Contract <br />E911 Central Communications Center - Engineered Environments, Inc. <br />The Board reviewed a Memorandum of February 27, 1996: <br />TO: Board of County Commission rs <br />FROM: DougWright,Wri Director <br />Department of Emergency Services <br />DATE: February 27, 1996 <br />SUBJECT: Approval of Renewal of Halon Fire Suppression System Maintenance Contract With <br />Engineered Environments, Inc. for E911 Central Communications Center <br />It is respectfully requested that the information contained herein be given formal consideration by the <br />Board of County Commissioners at the next scheduled meeting. <br />DESCRIPTION AND CONDITIONS: <br />The Halon Fire Suppression System at the E911 Communications Center requires conformity to <br />manufacturer's specifications and the national Fire Protection Association Standard 12A. In 1993, the <br />Board approved a contract with Engineered Environments, Inc. for a Level 1 preventive maintenance <br />program for this very important and necessary system, and the contract was renewed on an annual basis <br />in 1994 and 1995 with no increase in cost. <br />Quotes from other vendors were sought for this year's maintenance agreement. The only other vendor <br />found in this area was Protective Systems of Altamonte Springs, Florida, who gave a quote of $1,200. <br />Engineered Environments, Inc. has also given a quote in the same amount. <br />ALTERNATIVES AND ANALYSIS: <br />Three levels of maintenance service are available. However, staff feels that the Level 1 program of two <br />service calls per contract year is sufficient and the least expensive at a cost of $1,200 versus $2,735 for <br />the full maintenance program. <br />Although the quotes from both vendors for a Level 1 contract are in the same amount, Engineered <br />Environments, Inc. has been diligent in providing preventive maintenance at the E911 Communications <br />Center since 1993 and there have been no complaints with the level of service. Everything they have <br />done has been covered under the maintenance agreement with no extra or hidden costs. It is not lmown <br />what level of service might be provided by Protective Systems, or whether additional unexpected costs <br />might be incurred during the life of the contract. <br />RECOMMENDATION: <br />Staff recommends approval of the renewal of the contract with Engineered Environments, Inc. for the <br />sum of $1,200 for a one-year period. Staff also recommends the Board authorize the Chairman to <br />execute the attached contract for the term of one year in the amount specified. <br />ON MOTION by Commissioner Eggert, SECONDED by <br />Commissioner Bird, the Board Unanimously" approved <br />the renewal of the contract with Engineered <br />Environments, Inc., for the sum of $1,200 for a one- <br />year period, and authorized the Chairman to execute <br />the contract, as recommended in the memorandum. <br />CONTRACT IS ON FILE IN THE OFFICE OF THE <br />CLERK TO THE BOARD <br />22 BOOK 97 PAGE 446 <br />March 5, 1996 <br />
