Contract Manager or Contractor representation. Such inspections shall not require notice <br />to the Contractor. However, Contractor shall receive a copy of the completed inspection <br />report within three (3) business Days. <br />8.1.2 All inspections conducted by SWDD shall be documented via a formal checklist developed <br />by SWDD and shared with Contractor at a minimum of thirty (30) Days prior to <br />Commencement Date. <br />8.1.3 All inspections conducted by SWDD do not waive or release Contractor from liability and <br />full responsibility for conducting all operations in accordance with terms defined herein. <br />8.1.4 Contractor shall be responsible for addressing all deficiencies identified and documented <br />during inspections. Repeat violations or deficiencies not addressed shall be subject to the <br />performance standards and liquidated damages defined in Article 10.2. Performance. <br />8.2 Recordkeeping and Reportinje <br />8.2.1 Contractor shall maintain books, records, documents, time, and cost accounts and other <br />evidence directly related to its performance of services under this Agreement. Time records <br />and cost data shall be maintained in accordance with generally accepted accounting <br />principles. SWDD retains the right to perform audits of Contractors at SWDD's expense <br />should SWDD deem necessary. <br />8.2.2 Contractor shall maintain the following electronic records/logs in Microsoft Excel or similar <br />accounting software format approved by SWDD. These records shall be reported to SWDD <br />prior to the fifteenth (15th) Day of the month on services conducted the prior month. <br />a) Equipment Maintenance Log— Record of all maintenance activities performed during <br />the reporting month. <br />b) Personnel Log — Employee names, position/title, and contact information. Personnel <br />Log shall also include contact information for any subcontractors, or subcontractor <br />employees, performing services required herein. <br />c) GPS locations for where waste was placed during the month for each day of the <br />month. Information shall include latitude and longitude along with the bottom and <br />top elevations of where the waste was placed. <br />d) Quantity and type of materials utilized for daily, intermediate, and final covers. These <br />quantities must be expressed in cubic yards. This requirement does not apply to days <br />where an alternative daily cover or method of covering (i.e., tarps) is utilized that does <br />not take up space in the landfill. <br />e) The amount of stockpile soil and other materials used on the site for the month and <br />the locations where the materials were utilized. All quantities should be expressed by <br />type in cubic yards. <br />f) Daily Waste Screening Reports. <br />g) Daily Dust Control Log. <br />h) Odor Log. <br />i) Incident Log. <br />Indian River County Landfill Operating Agreement Final Page 20 of 42 <br />
