Frame, General Services Director � f���t ccs l <br />Subject: Approval to Lease Document Storage Space <br />BACKGROUND: <br />Last year, when the former Health Department Building was leased to the Homeless Coalition of <br />Indian River County, there was a portion of the building which was retained by the County for <br />storage of certain financial and court records maintained principally by the Clerk's Finance <br />Department. <br />At the time of the lease approval, there were no funds that had been budgeted to relocate and <br />properly store these records. The lease provided for the existing area currently occupied by the <br />Clerk's records to continue to be occupied until such time (October 1, 2001) as adequate funding <br />could be properly budgeted. Accordingly, the Board approved an amount of funds to provide for <br />the rental of adequate storage area for the records. <br />In proceeding to find adequate space, it was necessary to locate storage facilities that were <br />logistically convenient to retrieve documents, and a location that offered a secure and a low <br />humidity environment. <br />There are three facilities that we could find that offer storage specifically for records. One firm, <br />Archives Management, is located in Palm City near Stuart,another is Storage Solutions located <br />here in Indian River County just north of Vero Beach on the east side of U.S I. and the third is <br />U -Store -It, an air-conditioned facility with individual 10' x 10' storage units. The records <br />storage firm in Stuart is about forty miles away with an approximate driving time of about an <br />hour. The U -Store -It facility with individual units is approximately seven miles west on 901h <br />Avenue off S.R. 60.
